The workplace of the future - flexible working and working environment
With the beginning of 2020 completely disrupted in all respects – thanks to the epidemic situation – this is even more of an incentive for building owners to move in this direction.
At the latest from this period onwards, flexible working and working environments became a major focus and a challenge for many employers. Workplaces had to create the conditions for this, while of course meeting the requirements.
Change is already underway
Many companies are wondering whether and how remote working can become an integral part of their working culture in the future. It is also clear that many employees – especially those who worked from their home office during the pandemic – would like to take advantage of this option, at least in part. But, even if many employees will be in the home office more often in the future, there will still be a need to be able to meet colleagues in a ‘normal’ office environment. However, if they no longer have a permanent workspace, then solutions are needed to book flexible workstations.
But to do this, it is essential that you can use your smartphone to book a workstation, a parking space or an office without any obstacles. And all with just a few clicks.
Speedikon® C overcomes these challenges
Among the CAFM modules is the so-called Key Management module, where both employee access data and floor plans and 3D models of buildings are available. This data is easily and quickly transferred to the Premises Reservation module. All you need to do is log in as a user – either on desktop or mobile – and with a few clicks you can book the space you need. And the aggregation of booking data supports other departments within facility management.
There are several problems and requirements that can arise when making a working environment flexible, which cannot be ignored at all. These include security management, energy and resource supply, and access control and management. However, the system completely bypasses all of these, as all modules and functions are available and can be integrated, so that all relevant information can be taken into account when it comes to occupancy.
To work efficiently, it is essential that existing jobs and floor plans – which can quickly number up to 100,000 – are easy to take over and update. This is what speedikon® C gives us.
How does the app work in practice?
The CAFM system’s Booking module allows you to book workstations quickly and easily. All the employee needs to do is indicate exactly where they need space, from when to when, and the application will list all available workspaces. Once the desired workstation is selected, it is no longer available to anyone else.
Graphics are also provided to help ensure that all colleagues have an accurate picture of the workplace for easier visibility. Each room is shown graphically on the floor plan, and its occupancy status is indicated by a different colour. Clicking on a vacant – or green – workstation will immediately book it.
Of course, things can change at any time and our plans can change, so we can change or cancel your booking later. All you have to do is select the booking in question from your own booking overview and then feel free to edit or cancel it. We also have the option to close the active booking if we have finished working before the end of the booking period and release the workstation.
Digital Twin is a huge innovation in this area too, with panoramic and detail-rich images that even allow you to zoom in on a specific workspace and choose the one that suits you best. As with the 2D graphics, colours indicate the occupancy status.

The booking application is extremely flexible, user-friendly and, as mentioned above, provides a graphical interface to make it easy, quick and simple to use. A few clicks are all it takes to reserve a workstation or a parking space for yourself or your colleagues, for example. You can also log in to your workplace, book specific services and search for people.
Of course, you can also call up all the floor plans, plans or 3D models available and manageable in speedikon® C in the app. It is also possible to view all related materials and user profiles, which is why it is possible to make even the most complex reservations with a single click. All booking data will also be available later, which will help us, for example, to make our work even more efficient with evaluations.
Thanks to modern interfaces, you can even integrate data from third-party providers, such as existing booking applications from third-party vendors. In such cases, the workstations, bookings and users will be managed by the third-party application, but the booking data will be processed in speedikon® C with a variety of evaluation and analysis functions.
Employment demand and utilisation
Many evaluations focus on occupancy rates and the related job demand. However, it is not enough to look at individual areas or simply use colour heat maps to determine actual occupancy.
In the app, we can analyse the entire portfolio using the simplest tools, broken down into small details over a long period of time. The reason for the small breakdown is that it allows us to see differences that are the same over time but have very different effects on the actual job requirements. In addition, the actual capacity utilisation is an important factor for other resources such as heating or air conditioning.
In addition, cost centre allocations for bookings are easy to view, manage and administer. Taking these into account, it is then easier to decide whether to work with existing cost allocation structures or to create new ones.
